CHSC Fees Policy

Introduction

Membership of Camp Hill Swimming Club (CHSC) requires payment of fees, split into three elements:

  • An annual Swim England registration fee

  • Monthly training fees

  • Annual Membership.

Annual Swim England Registration Fee

CHSC is affiliated with Swim England and all swimmers must be registered with them to train and compete.

CHSC registers all its swimmers in the Club Compete category. However, we also have a Club Support option for our volunteers.

The Swim England registration covers a single calendar year period (from 1st January to 31st December), and is mandatory. CHSC will take this registration fee via your existing direct debit and pay Swim England directly on your behalf. No money is charged by CHSC for this process.

The club covers the cost of Swim England registration (Club Support) for volunteers.

Swim England does not usually support pro-rata fees for swimmers joining part-way through a year, and regardless of joining date, the ‘initial Swim England registration’ fee will cover membership for the remainder of that year. CHSC will follow Swim England if any pro-rata discount is made available, and offer the same pro-rata benefit.

Licensed Meets

Training fees are calculated based on the costs involved in providing the facilities required, including pool hire, and provision of services such as coaching, and are spread over 12 months. Payments are due by 1st of each month in advance by Direct Debit (GoCardless). Missed or partial payments will be considered a breach in code of conduct and can result in the swimmer’s suspension from training until full payment is received.

The calculation of fees takes account of non-swimming times, such as bank holidays and seasonal breaks. The fees may include occasional long course training (50m pool), in lieu of regular training at appropriate times in the calendar.

The monthly squad fees for 2025 is £34 per month for all swimmers.

At times, due to unforeseen circumstances, sessions may be cancelled at short notice. CHSC will make all attempts to replace missed sessions, but this may not be feasible.

Competition Fees

Training fees do not include entries to competitions. Competition fees are charged separately and must be paid in advance of attending the competition by direct debit. The competition calendar is set at the start of the season and may vary throughout the year.

Competition entry fees are set by the hosting clubs and CHSC will include a surcharge of usually £1-3 to cover passes for all team managers and coaches who attend. This is to enable us to adhere to the required adult-child ratios, therefore these volunteers are essential.

All fees for open meets will be invoiced prior to the competition by direct debit.

Membership Termination

It is necessary to give one month’s written notice, by the 20th of the month, to the Membership Secretary if a swimmer decides to leave CHSC. Fees are non-refundable.

In the case of membership termination by the Club (e.g. due to contraventions of club policies), this shall be with immediate effect, and no pro-rata refund of any monthly training fees or Swim England registration fees will be refunded by the club.

Fee Adjustment

Under certain circumstances, training fees may be adjusted.

6.1. Medical Absence

In the event of long-term absence for medical reasons, please discuss with chair (chair@chsc.org.uk) or finance (finance@chsc.org.uk)

6.2. Sibling Discount

Recognising the financial burden of multiple swimmers from a single family training within the club, CHSC offers a sibling discount as follows:

  • 2nd child - 5% off monthly training fees

  • 3rd child - 10% off monthly training fees

  • 4th and subsequent siblings from the same family will swim at no cost.

6.3. Social Inclusion

CHSC operate a policy of social inclusion and it may be possible to make temporary arrangements in the event of financial hardship. Please speak confidentially to either Lindsey Walker (chair@chsc.org.uk) or Jo Ashton (secretary@chsc.org.uk)

6.4. University Membership

This category is applicable to CHSC Swimmers studying away at university during term-time, but who wish to retain their home-club membership, and train with CHSC during holidays.

The Annual Fee and Swim England Membership Fee must be paid, however no monthly fee will be charged.

Either a charge of £8 per session, or a 31 day block at the monthly rate of £34 will be applied.

Any of our CHSC coaches going to university who have current paid membership of the club are offered the opportunity to swim in performance in return for volunteering in development. To be agreed with chair.

For competitions, specific Coach attendance will not be allocated for these student members competing in meets, unless a Coach is planned to be in attendance anyway to support full-time club swimmers.

University students, or their parents, must contact the club Chair a week before attending a session to discuss arrangements and payment.

This is the same policy for any CHSC swimmers who also train with City of Birmingham.

Late Payment or Non payment of Fees

Unpaid fees will be considered a breach of the code of conduct and can result in the swimmer’s suspension from training and further competition until full payment is received.
